Job description

Responsibilities

  • Maintain and organize master task lists, deadlines, and follow-ups for executives
  • Manage personal and professional calendars, including school activities and appointments
  • Track bills, invoices, receipts, and expense documentation for bookkeeping
  • Organize travel logistics, including itineraries, confirmations, and packing lists
  • Maintain trackers for hiring, onboarding, renewals, and contract expirations
  • Prepare weekly status reports covering completed work, pending approvals, and upcoming deadlines
  • Create, format, and update presentation decks and marketing assets
  • Research business opportunities, including restaurants, hotels, and hospitality groups
  • Assist with internal event planning and administrative coordination

Requirements

  • Proficiency in English (CEFR level)
  • Advanced skills in Google Workspace (Docs, Sheets, Calendar)
  • Experience with spreadsheet and presentation software
  • Strong task management and project coordination skills
  • Experience with travel coordination and logistics
  • Basic bookkeeping and expense tracking experience

Preferred Qualifications

  • Experience supporting executives or high-level personal assistants
  • Familiarity with hospitality, wine, or consumer brands
  • Experience maintaining CRM or tracking systems
  • Ability to handle confidential information with high discretion
  • Proactive approach to identifying risks and upcoming deadlines
