Intake Coordinator

Responsibilities

• Manage new patient inquiries and intakes
• Schedule and complete intake calls with new families and patients
• Educate families on Handspring, treatment programs, and treatment options
• Assess patient suitability for treatment and ensure specific criteria are met
• Engage with families empathetically to build trust and encourage care
• Address patient follow-up questions, concerns, or complaints
• Manage clinician schedules by setting up initial assessments
• Prepare patient charts in the EHR system and ensure consent and billing forms are completed
• Follow cancellation, rescheduling, and no-show policies
• Communicate with new patients via EHR system
• Perform consistent follow-ups with pending leads
• Track intake data and provide weekly and monthly progress reports

Requirements

• Experience working in patient-facing roles
• Familiarity with psychology or the mental healthcare field
• Proficiency with Microsoft Office tools
• Comfort using and learning new technologies including Zoom and EHR systems
• Ability to work afternoon/evening hours (EST) 3 days a week
• Ability to support multiple projects simultaneously
