Remote Office Manager/Dispatcher – Plumbing Company (FieldPulse, QuickBooks)

Responsibilities

• Answer every incoming call, text and lead from one shared inbox and log each in the field service software
• Own the dispatch board, book arrival windows and assign plumbers, helpers and equipment
• Track open job status daily, book return visits and flag jobs at risk of slipping
• Follow up on open estimates and close out cold ones
• Check paid invoices, commissions and hours before each pay run
• Track permits and send certificates of insurance before scheduling work
• Send the owner an end-of-day summary every business day

Requirements

• 2+ years as office manager, dispatcher, CSR or operations coordinator
• Experience answering customer calls and texts as a core duty
• Experience owning a schedule or dispatch board
• Hands-on experience with a field service platform such as FieldPulse, Housecall Pro or ServiceTitan
• Clear spoken and written English for US homeowners
• Reliable remote setup with stable internet

Preferred Qualifications

• Plumbing or HVAC experience
• QuickBooks Online or QuickBooks Time
• Podium or similar customer messaging inbox
• Basic job costing familiarity
