Speakers Coordinator

Responsibilities

• Serve as the main day-to-day point of contact for assigned speakers and agents
• Collect speaker information, biographies, photos, and presentation materials
• Coordinate speaker travel logistics including flights, hotels, and visas
• Maintain accurate arrival, departure, and accommodation schedules
• Support the Track Producer with session planning and organization
• Create and update tracking sheets for speaker confirmations and contracts
• Provide on-site support for speaker arrivals, registration, and rehearsals
• Coordinate with backstage, stage management, and hospitality teams

Requirements

• Experience communicating with external stakeholders, guests, clients, or talent
• Basic understanding of event logistics and coordination
• Strong written and verbal communication skills in English
• Proficiency in Microsoft Office and Google Workspace (Excel and Google Sheets)
• Ability to manage multiple tasks and deadlines simultaneously
• Professionalism when dealing with senior stakeholders

Preferred Qualifications

• Fluency in Arabic or additional languages
