Job Description

Responsibilities

  • Efficiently oversee and prioritize high-volume emails, promptly addressing critical communications
  • Filter and categorize incoming internal and external communications to maintain organized workflow
  • Coordinate complex calendars to optimize scheduling for meetings and stakeholders
  • Schedule and organize key meetings, prepare comprehensive agendas, and document meetings into actionable minutes
  • Track progress and ensure timely completion of follow-up items from meetings
  • Draft professional communications for various stakeholders, maintaining brand voice and professionalism
  • Manage correspondence with key partners; escalate and respond to issues to foster strong relationships
  • Engage proactively with landlords, suppliers, and strategic partners to build relationships
  • Organize events and meetings to facilitate deeper engagement with partners
  • Handle sensitive documents and information with discretion, ensuring confidentiality
  • Assist executives in negotiations, prepare documentation, and conduct background research for decisions
  • Coordinate executive tasks including travel, expense reporting, and project management support
  • Serve as the main point of contact for property owner onboarding
  • Coordinate with internal and external teams to ensure smooth property integration and onboarding
  • Ensure onboarding aligns with SmartStay’s standards and growth strategy

Requirements

  • Excellent English communication and writing skills
  • Proven experience as a Personal or Executive Assistant, ideally in a fast-paced, high-growth environment
  • Exceptional organizational skills, strong attention to detail
  • Ability to handle multiple tasks simultaneously
  • Excellent interpersonal skills and relationship-building abilities
  • Proficiency in productivity software (email, calendar management, video conferencing, document management)
  • Knowledge of the UAE market or previous UAE work experience
  • Ability to work independently and as part of a team
  • High degree of professionalism, integrity, and confidentiality
