Job description
Responsibilities
- Manage directors' calendars, meetings, travel and logistics.
- Drive business outreach: research leads, send outreach emails, manage follow-ups.
- Support submissions (awards, funding, partnerships).
- Coordinate contracts and documentation: reviews, signatures and filing.
- Maintain company records and databases to ensure compliance and smooth workflows.
- Manage day-to-day operations: supplies, rentals, memberships, insurance, vendor relations, equipment inventory.
- Assist finance team with invoices, expenses, bookkeeping, reconciliations and procurement.
- Support account and client setup, company registrations and related administration.
- Track budgets, payments and reimbursements; liaise with vendors and suppliers.
- Perform ad hoc administrative tasks as business needs evolve.
Requirements
