Job description

Responsibilities

  • Manage directors' calendars, meetings, travel and logistics.
  • Drive business outreach: research leads, send outreach emails, manage follow-ups.
  • Support submissions (awards, funding, partnerships).
  • Coordinate contracts and documentation: reviews, signatures and filing.
  • Maintain company records and databases to ensure compliance and smooth workflows.
  • Manage day-to-day operations: supplies, rentals, memberships, insurance, vendor relations, equipment inventory.
  • Assist finance team with invoices, expenses, bookkeeping, reconciliations and procurement.
  • Support account and client setup, company registrations and related administration.
  • Track budgets, payments and reimbursements; liaise with vendors and suppliers.
  • Perform ad hoc administrative tasks as business needs evolve.
