Job description
Responsibilities
- Provide comprehensive administrative support to the CEO, including calendar management, scheduling meetings, and arranging travel logistics.
- Support with the preparation of correspondence, reports, presentations, and other documents as required.
- Act as a liaison between executives and internal/external stakeholders, ensuring professionalism and confidentiality in communications.
- Assist in preparing for meetings, ensuring materials are organized and distributed timely.
- Oversee daily office operations to ensure efficiency, cleanliness, and a positive work environment.
- Manage office supplies, equipment, and facilities maintenance, ensuring adequate stock and functionality.
- Coordinate office events, meetings, and conferences, including logistics and catering arrangements.
- Implement and maintain office policies and procedures to support operational excellence.
- Assist in recruitment and onboarding for new employees, coordinating job postings, scheduling interviews, and candidate correspondence.
- Ensure company HR policies and procedures are implemented locally.
Requirements
- 3-5 years experience as an Executive Assistant to a senior executive, with office management responsibilities.
- Exceptional organizational and project management skills, strong attention to detail, and ability to prioritize.
- Proven expertise in vendor management and service coordination.
- Strong communication skills to engage across all organizational levels, including executive leadership.
- Ability to remain calm and problem-solve in dynamic, fast-paced environments.
- Excellent written and verbal communication skills (Arabic is a plus).
- Proficiency in Microsoft Office Suite and productivity tools.
- UAE experience and knowledge of local administrative requirements are advantageous.
Preferred Qualifications
- Experience working in an international or fast-growth company.
- Arabic language skills.
- Previous experience supporting C-level executives in the UAE.
