Job description

Responsibilities

  • Maintain and organize project documentation, contracts, and governance records.
  • Ensure compliance with PMO governance frameworks, policies, and audit requirements.
  • Assist in creating and updating project reports, status updates, and dashboards.
  • Maintain project risk, issue, and change management logs, ensuring accurate tracking.
  • Organize and manage project repositories, ensuring easy access to files and reports.
  • Schedule and coordinate meetings, workshops, and training sessions, ensuring agendas and minutes are prepared.
  • Serve as a key contact for internal teams, external clients, and vendors, ensuring clear communication.
  • Assist project managers with follow-ups, stakeholder updates, and task tracking.
  • Support in preparing presentations, client reports, and governance documents.
  • Monitor and escalate any project delays or bottlenecks to ensure timely resolution.
  • Maintain a centralized calendar for project deadlines, key milestones, and deliverables.
  • Coordinate travel arrangements and logistics for project teams and consultants when required.
  • Provide general administrative support, including data entry, document formatting, and record-keeping.
  • Ensure smooth onboarding of new team members, vendors, and project stakeholders by coordinating documentation and access.
  • Assist in training and development coordination, ensuring materials and schedules are updated.

Requirements

  • Bachelor’s degree in Project Management, Business, IT, Administration, or related field.
  • Project Management or Administration certification (CAPM, PMP, or PRINCE2 Foundation) is desirable.
  • Fluency in English language (spoken and written) is essential. Fluency in Arabic (spoken and written) is desirable.
  • Minimum 2 years of experience in project administration, coordination, or PMO support.
  • Experience in IT projects, business transformation, or enterprise PMO environments is a plus.

Preferred Qualifications

  • Strong knowledge of project administration and management best practices.
  • Proficiency in project management tools (e.g., MS Project, JIRA, Monday.com).
  • Experience in using Power BI for project reporting, data visualization, and dashboard creation.
  • Strong documentation, report-writing, and formatting skills.
