Job description

Responsibilities

  • Own high-volume interview scheduling across phone, video, and virtual onsite formats with speed and accuracy.
  • Partner closely with recruiters, hiring managers, and external agency partners to maintain process momentum.
  • Manage scheduling logistics, resolve calendar conflicts, and troubleshoot issues proactively to ensure a premium candidate experience.
  • Support multiple recruiters and active requisitions simultaneously while maintaining high attention to detail.
  • Manage end-to-end agency and vendor coordination, including submissions, feedback loops, and SLA tracking.
  • Maintain strong ATS hygiene and contribute to the improvement of operational workflows and documentation.
  • Utilize AI tools and automation to reduce manual tasks and scale coordination impact.

Requirements

  • 4+ years of experience in recruiting coordination, HR coordination, or a similar high-volume role.
  • Proven experience managing fast-paced, high-volume interview scheduling.
  • Demonstrated ability to support multiple recruiters and stakeholders across parallel workstreams.
  • Strong written and verbal communication skills for interacting with candidates and internal leadership.
  • Proficiency with recruiting systems and Applicant Tracking Systems (ATS).
  • Experience using AI tools, automation, or smart templates to improve workflow efficiency.
  • Ability to work independently and make sound decisions in an ambiguous, fast-changing environment.

Preferred Qualifications

  • Experience managing or supporting staffing agency or vendor relationships.
  • Experience with SLA management and external partner communication.
  • Background in process improvement, documentation, or operational enablement.
  • Experience working in a fully remote, high-volume environment.
