Job description

Responsibilities

  • Coordinate therapist-to-client scheduling based on availability, location, language, and clinical needs
  • Maintain accurate therapist and client schedules while managing cancellations and changes
  • Track client authorization hours and coordinate with clinical and billing teams regarding expirations
  • Maintain accurate records in scheduling and case management systems
  • Communicate with therapists, clinical staff, and families regarding scheduling and service updates
  • Support new client onboarding by coordinating schedules following authorization approval
  • Escalate scheduling conflicts, staffing gaps, and authorization issues as needed
  • Generate scheduling reports and monitor trends to support operational efficiency

Requirements

  • Fluent in English and Spanish (written and verbal)
  • 1–2 years of experience in care coordination, patient scheduling, or healthcare administration
  • Experience using EHR, scheduling, or case management systems
  • Knowledge of ABA, behavioral health, or home care is highly preferred
  • Proficiency with Microsoft Office and Google Workspace
  • High-speed internet (15 Mbps primary / 10 Mbps backup) and specific hardware requirements (Intel i5/Ryzen 5 or equivalent, 8GB RAM)
  • Ability to work from a quiet, dedicated home office with a noise-canceling headset and webcam

Preferred Qualifications

  • Experience with CentralReach, Catalyst, or Theralytics platforms
  • Familiarity with insurance authorizations, Medicaid, or service hour tracking
