Event Operations Senior Associate

Responsibilities

• Own end-to-end logistics for Tier 1 owned events, including rooming, food and beverage, transportation, and onsite flow
• Manage venue and vendor sourcing, RFPs, and contract reviews in coordination with Legal and Finance
• Build and maintain production schedules, conduct hotel site visits, and manage weekly vendor check-ins
• Coordinate onsite experience details such as swag, decor, signage, and VIP transportation
• Execute onsite program management and real-time troubleshooting during events
• Manage event budgets, process invoices, and perform final reconciliations
• Drive project management using Asana, Slack, and Google Workspace to align stakeholders

Requirements

• 3+ years of experience in event operations, logistics, or hospitality
• Experience supporting large multi-day or corporate events
• Exceptional organization and attention to detail
• Strong vendor and stakeholder coordination skills
• Proficiency with event and project tools like Swoogo, Asana, Google Workspace, or Slack
• Experience with hotels, BEOs, DMCs, and venue contracts
• Ability to travel up to 50% for onsite event support
