Responsibilities

• Oversee payroll processes and execution, ensuring timely and accurate payments to employees, including variable and incentive compensation
• Review and process additional pay items, W-2s, and 1099s, and validate payroll tax filings for accuracy and compliance
• Manage the end-to-end variable compensation lifecycle, including drafting compensation letters and conducting annual salary benchmarking
• Oversee state notices, manage federal, state, and local payroll tax filings, and maintain active state licensures
• Support new state expansion initiatives by coordinating corporate registrations and configuring state-specific payroll rules
• Execute routine internal payroll audits, lead annual Rippling payroll audits, and manage the Betterment 401(k) program
• Serve as the primary administrator for Workers’ Compensation policies and coordinate responses to unemployment claims and DOL inquiries
• Manage timecard tracking systems and serve as the main point of contact for employee payroll and tax inquiries

Requirements

• 7+ years of progressive multi-state payroll experience
• Experience managing compliance across multiple state tax jurisdictions
• Advanced proficiency with Rippling or similar modern HRIS/payroll platforms
• Experience managing digital 401(k) platforms (e.g., Betterment)
• High proficiency in Excel or Google Sheets (VLOOKUPs, pivot tables, data manipulation)
• Deep compliance expertise in 401(k) discrimination testing, 5500 filings, and external audit support
• Comprehensive understanding of multi-state Workers’ Compensation laws and year-end ACA reporting
• Excellent cross-functional communication skills

Preferred Qualifications

• Strong working knowledge of healthcare or billable-hour payroll structures
