
Project Admin – Conservation

Job description
Responsibilities
- Provide day-to-day administrative support to Project Managers and project teams.
- Maintain structured filing systems for project documentation, contracts, correspondence, and reports.
- Support drafting, formatting, and proofreading of routine correspondence, presentations, and reports.
- Schedule meetings, prepare agendas, take minutes, and follow up on action points.
- Assist Project Managers in tracking activities, timelines, milestones, and deliverables.
- Support preparation of workplans, progress updates, and donor reporting documentation.
- Consolidate project information for internal reporting and knowledge management.
- Coordinate communication between Project Managers, consultants, partners, and stakeholders.
- Assist with tracking project budgets, expenditures, and financial documentation.
- Prepare purchase requisitions, payment requests, and procurement documentation in line with organizational procedures.
- Track invoices, contracts, and payments in coordination with the Finance Unit.
- Maintain accurate financial and contractual records to support audits, donor reporting, and compliance reviews.
- Coordinate travel, field visits, workshops, meetings, and stakeholder consultations.
- Support logistics including invitations, agendas, supplier coordination, materials preparation, and follow-up documentation.
- Assist in organizing trainings, events, and community engagement activities.
- Support preparation of briefing notes, presentations, and operational reports.
- Ensure project documentation complies with organizational standards, donor requirements, and applicable UAE regulatory frameworks.
- Support Project Managers during audits, donor missions, and evaluations through documentation preparation.
- Maintain confidentiality of sensitive project and stakeholder information.
- Provide general administrative support to the Conservation Director or Programme Delivery leadership as required.
Requirements
- Minimum 2–3 years of experience in administrative, project support, or coordination roles.
- Experience supporting multiple projects simultaneously is an advantage.
- Experience within conservation, NGO, sustainability, or development sectors desirable.
- Diploma or Bachelor’s degree in Business Administration, Environmental Management, Project Management, Sustainability, or related field.
- Fluency in English (essential).
- Fluency in Arabic (highly desirable).
- Strong organizational, coordination, and time-management abilities.
- Excellent written and verbal communication skills in English; Arabic an advantage.
- Proficiency in MS Office and document management systems.
- Basic understanding of budgeting, procurement, and administrative procedures.
- Ability to work independently within multidisciplinary and multicultural teams.
- High integrity, discretion, and strong attention to detail.
Preferred Qualifications
- Experience within conservation, NGO, sustainability, or development sectors.
- Fluency in Arabic.
- Familiarity with UAE regulatory frameworks.
