Job description

Responsibilities

  • Manage project schedules and align field teams, subcontractors, and timelines
  • Track building permits and coordinate documentation with architects and third parties
  • Assist in sourcing and coordinating materials for construction sites
  • Draft client project estimates and generate/dispatch invoices
  • Review financial transactions in Xero and allocate costs to active projects
  • Handle professional calls and outreach to vendors, clients, and municipal offices
  • Assist with scheduling blog entries and social media updates using AI tools

Requirements

  • High proficiency with Microsoft Outlook and office administrative tools
  • Familiarity with Xero, QuickBooks, or similar cloud accounting platforms
  • Willingness to learn BuilderTrend CRM quickly
  • Comfortable working via secure VPN and reliable phone system
  • Excellent verbal and written English skills
  • Ability to handle time-sensitive tasks with urgency and professionalism
  • Self-driven learner who can absorb training and act independently
  • Availability for 40 hours per week, Monday–Friday, 8:00 AM – 5:00 PM EST

Preferred Qualifications

  • Prior experience in project management or operational coordination
  • Background in construction, architectural requests, or material takeoffs
