Proposal Specialist

Responsibilities

• Respond to RFPs from media agencies by producing customized PowerPoint decks and Excel pricing responses
• Adapt templated slide decks to reflect specific therapeutic areas and campaign objectives
• Populate and format pricing tables, product grids, and campaign summaries in Excel
• Manage an active queue of concurrent proposals under strict deadlines
• Coordinate with internal sales, strategy, and marketing teams to gather necessary inputs
• Use AI tools to accelerate first drafts and research therapeutic areas
• Maintain and organize the PowerPoint RFP slide library
• Proof all proposals for accuracy, formatting consistency, and alignment with requirements

Requirements

• Bachelor’s degree or equivalent experience
• 2–4 years of experience in a proposal role
• Advanced PowerPoint skills for building and formatting slide decks
• Excel proficiency with pricing tables and data grids
• Comfort with AI-assisted writing and research tools (e.g., Claude, ChatGPT, Copilot)
• Ability to manage multiple open deadlines simultaneously with minimal oversight
• Highly organized and detail-oriented

Preferred Qualifications

• Experience in healthcare media, pharmaceutical advertising, or health communications
• Familiarity with pharmaceutical brand team dynamics or HCP advertising
• Experience maintaining a shared content or slide library
• Proficiency with CRM and project tracking tools like HubSpot or Asana
