Job description

Responsibilities

  • Plan and execute company-hosted events from venue sourcing through post-event wrap-up
  • Coordinate event staffing, shipping, setup, execution, and teardown
  • Manage vendor and venue relationships including contracts and coordination
  • Create and maintain project plans, timelines, budgets, and event checklists
  • Track event costs, process invoices, and report expenses against budgets
  • Communicate proactively about event scheduling and status updates to stakeholders
  • Serve as the on-the-ground point of contact for real-time problem-solving
  • Manage event logistics including shipping, inventory, and event materials
  • Support event promotion and brand consistency in collaboration with marketing

Requirements

  • 3–6 years of experience in corporate event planning
  • Experience supporting government conferences, military events, or federal customers
  • Strong project management and organizational skills
  • Ability to manage multiple events simultaneously
  • Strong written and verbal communication skills
  • Willingness to travel 4-10 times per year for events
  • Experience working across marketing, sales, and external vendors

Preferred Qualifications

  • Experience in the defense, national security, or gov-tech space
  • Familiarity with CRM and marketing automation platforms like HubSpot
