Job description

Responsibilities

  • Support and guide private foundation clients in conducting philanthropic and administrative activities to ensure a superior experience.
  • Respond to client inquiries via phone and email with speed and accuracy, resolving issues or marshalling resources as needed.
  • Implement new clients onto the technology platform and coordinate with internal specialists and external financial institutions.
  • Provide technology support to clients, helping them navigate the Foundation Source Online platform.
  • Assist with advanced grantmaking processes, including fiscal sponsors, intermediaries, and expenditure responsibility.
  • Manage client operations, including reviewing invoices, processing grant letters, and gathering financial information for tax and return filings.
  • Prepare materials for Trustee and Board of Directors’ meetings and generate reports using proprietary software and MS Office.
  • Maintain accurate, professional client records and seek ways to improve product efficiency and service quality.

Requirements

  • Bachelor's Degree or equivalent professional experience.
  • 7-10 years of experience in relationship or administrative support within a private foundation, financial services firm, or family office.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Salesforce.
  • Strong analytical, communication, and interpersonal skills suitable for working with ultra-high-net-worth individuals and executives.
  • Ability to handle a high volume of work, prioritize tasks, and maintain accuracy under pressure.
  • High level of integrity and commitment to client confidentiality.
  • Dedicated home workspace free of distractions and a reliable high-speed internet connection.
