Job description
Responsibilities
- Manage the CEO’s calendar, including scheduling meetings and appointments.
- Coordinate domestic and international travel (flights, hotels, ground transport, visas, itineraries).
- Prepare and process expense reports and basic administrative documentation.
- Support meetings by preparing materials, taking notes and following up on action items.
- Maintain confidentiality and professionalism when handling sensitive information.
- Provide general administrative and project support as required.
- Flexibly adjust working hours when required to accommodate time zone differences.
Requirements
- 2–4 years experience as an Executive Assistant, Administrative Assistant or similar role.
- Experience in a startup, fast-growing company or hybrid environment preferred.
- Strong verbal and written communication skills in English.
- Proficient with Microsoft Office and Google Workspace; familiar with scheduling and expense tools.
- Highly organized with strong multitasking ability and attention to detail.
- Proactive, resourceful and able to work independently with good judgment.
- Strong interpersonal skills; able to collaborate across levels and cultures.
Preferred Qualifications
- Bachelor’s degree or equivalent professional experience.
- Previous exposure to supporting C-level executives.
- UAE work authorization or eligibility to work in the UAE.
- Multilingual ability is a plus.
