Job description

Responsibilities

  • Manage the CEO’s calendar, including scheduling meetings and appointments.
  • Coordinate domestic and international travel (flights, hotels, ground transport, visas, itineraries).
  • Prepare and process expense reports and basic administrative documentation.
  • Support meetings by preparing materials, taking notes and following up on action items.
  • Maintain confidentiality and professionalism when handling sensitive information.
  • Provide general administrative and project support as required.
  • Flexibly adjust working hours when required to accommodate time zone differences.

Requirements

  • 2–4 years experience as an Executive Assistant, Administrative Assistant or similar role.
  • Experience in a startup, fast-growing company or hybrid environment preferred.
  • Strong verbal and written communication skills in English.
  • Proficient with Microsoft Office and Google Workspace; familiar with scheduling and expense tools.
  • Highly organized with strong multitasking ability and attention to detail.
  • Proactive, resourceful and able to work independently with good judgment.
  • Strong interpersonal skills; able to collaborate across levels and cultures.

Preferred Qualifications

  • Bachelor’s degree or equivalent professional experience.
  • Previous exposure to supporting C-level executives.
  • UAE work authorization or eligibility to work in the UAE.
  • Multilingual ability is a plus.
