Job description
Responsibilities
- Manage office supplies, maintenance, cleaning, security and workspace layout
- Maintain company records, documents and internal databases
- Handle all immigration-related administrative procedures (visa/work permit documentation, tracking, coordination with authorities and agencies)
- Support foreign employees with onboarding, arrival documentation and compliance monitoring
- Assist HR with payroll administration, contracts, benefits administration and expense reports
- Plan and coordinate team-building activities and corporate events
- Manage office budgets, process invoices and monitor expenses; negotiate with suppliers and service providers
- Record contracts, amendments and customer orders in internal systems; issue customer invoices and monitor accounts receivable in coordination with customer service and accounting
- Serve as liaison between departments and external stakeholders; manage internal communications, meeting scheduling and travel logistics
Requirements
- Office administration
- 3 years experience
- MS Office proficiency
- Visa processing
- Fluent English
- Invoicing
- Budget management
- Event coordination
Preferred Qualifications
- Experience in a SaaS or legal-tech environment
- Multilingual (Arabic, French or Spanish)
- Experience with payroll and basic accounting workflows
- Familiarity with UAE immigration and labor regulations
