Job description
Responsibilities
- Plan and deliver an engaging office events calendar (birthdays, team events, year-end, sports)
- Manage vendor agreements (lease, cleaning, facilities) and service levels
- Support leadership calendar management and meeting logistics
- Process regional POs and invoices with Procurement Hub
- Order supplies and monitor stock (stationery, drinks, snacks, equipment)
- Manage petty cash, month-end summaries, and facilities budget tracking
- Conduct office checks; ensure the workplace is clean, secure, and well maintained
- Maintain an asset register for office furniture
- Prepare onboarding kits; issue and monitor access cards; support People team
- Perform other facilities tasks as directed by the Line Manager
Requirements
- Fast learner with proactive mindset and minimal supervision
- At least 2 years’ administrative experience
- Excellent communication skills
- Fluency in English; Arabic an advantage
- Proficient with G‑Suite
- Vendor and supplier management experience
- Purchase order and invoicing exposure
- Petty cash handling and basic budgeting
- Must have UAE passport and Family Book (Khulasat Al Qaid)
Preferred Qualifications
- Events coordination and office engagement experience
- Facilities or workplace operations background
- Stock control and asset management
- Strong calendar and stakeholder management
- Detail-oriented with problem-solving mindset
