Job description

Responsibilities

  • Act as primary point of contact for Dubai office administration across People Ops, Facilities, Office Management, and IT coordination
  • Support employee queries, engagement, wellbeing, and basic disciplinary processes
  • Coordinate onboarding for local new hires and provide first‑days support
  • Oversee facilities: maintenance, repairs, utilities, H&S compliance, emergency procedures, landlord/service provider coordination
  • Manage office operations: supplies, vendors, contracts, assets, office layout, cleanliness, compliance
  • Handle front‑desk/reception: mail, deliveries, visitors, and inquiries
  • Support leaders/teams with scheduling, meetings, events, logistics, and internal initiatives
  • Assist with audits, compliance checks, documentation, and data collection; ensure smooth cross‑functional information flow

Requirements

  • 4+ years in administration/operations/office management
  • Experience supporting HR/People Ops, Facilities, IT coordination, Office Management
  • Strong HR admin, facilities coordination, and office operations knowledge
  • Vendor, contracts, and service provider management
  • Proficiency with common office systems, tools, and documentation
  • Excellent communication, organization, and multitasking skills

Preferred Qualifications

  • Regional office experience (multi‑stakeholder)
  • Fintech or B2B2X environment exposure
  • Event and meeting logistics coordination
  • Health & Safety and emergency procedure familiarity
  • Data handling and audit readiness
